Mission

Position Summary 

The Area Payroll Coordinator provides support to Area Payroll Managers for centralized locations, while serving as a Level 1 resource for non-centralized, local payroll administrators. This role helps ensure payroll accuracy, timeliness, and compliance by assisting with pay calculations, employee file maintenance, preparation and review of import templates, basic system troubleshooting, reporting, reconciliations, internal and external audit activities, creating and maintaining SOPs, document tracking and controls, and other payroll-related inquiries. The Area Payroll Coordinator maintains a general understanding of collective bargaining agreements (CBAs) and union payroll practices to support the accurate administration of payroll for unionized employee populations. 

This position will be fully remote, and applicants can be located anywhere in the United States. Company preference for candidate to be located near Dallas/Fort Worth area (near our Corporate Office).

Key Responsibilities 

Centralized Payroll Support 

  • Support the process of end-to-end payroll for centralized locations, including data validation, payroll reporting, follow-up, and other support as needed by the Area Payroll Managers. 

  • Validate requested payroll import data from timekeeping and other upstream systems and send approved files to the Area Payroll Managers for upload into the payroll system. 

  • Review payroll inputs for accuracy, completeness, and compliance with company policies. 

  • Identify and resolve routine payroll discrepancies prior to payroll submission. 

  • Support Area Payroll Managers with pay calculations, employee file maintenance, import templates, post-payroll reconciliations, and reporting. 

Level I Non-Centralized Payroll Support 

  • Serve as Level 1 support for local payroll administrators by responding to basic payroll questions and inquiries. 

  • Provide guidance on standard payroll procedures, timelines, and system usage. 

  • Perform intermediate payroll system troubleshooting and escalate complex issues as needed. 

  • Escalate complex or unresolved payroll issues to the Area Payroll Manager with clear documentation and recommendations. 

  • Distribute and manage verification of employment requests, wage garnishments, and other payroll-related legal documentation in accordance with company policies and regulatory requirements.  

Audit & Compliance Support 

  • Assist with collecting, organizing, and following up on internal and external payroll audit requests. 

  • Support documentation requests and ensure audit findings are tracked and resolved. 

  • Maintain accurate payroll records in accordance with retention requirements. 

Union & CBA Awareness 

  • Apply general knowledge of CBAs and union payroll rules when processing payroll transactions 

  • Identify potential CBA-related payroll issues and escalate as appropriate 

  • Support accurate setup and maintenance of union-related pay elements and deductions 

Collaboration & Controls 

  • Partner with HR, Finance, and local payroll teams to ensure data accuracy 

  • Coordinate with Finance and local teams to resolve outstanding payroll checks promptly and in accordance with company policy and applicable regulations. 

  • Follow established payroll controls, procedures, and timelines 

  • Maintain confidentiality and security of payroll information 

Skills & Competencies 

  • 4-5 years of payroll experience in a centralized or shared services environment 

  • Experience supporting union or CBA-governed payrolls (preferred) 

  • Working knowledge of payroll processes, wage and hour regulations, and payroll cycles 

  • Experience with navigating and troubleshooting payroll systems (e.g., UKG Ready, or similar) 

  • Strong attention to detail, commitment to accuracy, and adherence to all established policies and procedures 

  • Ability to run basic reports and analyze data 

  • Intermediate proficiency in Microsoft Excel is required, with the ability to compile, analyze, and interpret payroll and financial data 

  • Effective communication, organizational, customer service, and interpersonal skills 

  • Ability to thrive in a fast-paced, dynamic environment, while effectively prioritizing and maintaining adherence to strict deadlines 

  • Proven ability to identify issues and suggest effective solutions 

  • Strong sense of initiative and ability to work independently and with a team
