Profile
Position Summary
The Front Desk Receptionist serves as the first point of contact for customers, visitors, and employees at VoTran facilities. This position is responsible for providing courteous, accurate, and timely customer service, managing front desk operations, and fulfilling transit pass and ticket orders, including sales and distribution.
The Front Desk Receptionist plays a key role in customer experience, revenue handling, and administrative support, ensuring a professional, welcoming, and efficient front office environment.
This position is reported to the Customer Service Manager, Operations Manager, or Administrative Supervisor, as assigned.
Essential Functions
Front Desk & Customer Service
- Greet customers, visitors, and employees in a professional and courteous manner.
- Answer incoming phone calls and direct inquiries appropriately.
- Provide general information regarding transit services, schedules, fares, and policies.
- Assist customers with questions related to passes, tickets, and service access.
- Maintain a clean, organized, and professional front desk area.
Pass & Ticket Sales / Fulfillment
- Process transit pass and ticket sales accurately, including cash, credit, and other approved payment methods.
- Fulfill pass and ticket orders for customers, agencies, and organizations.
- Prepare, package, and distribute passes and tickets in accordance with established procedures.
- Maintain accurate records of sales, inventory, and transactions.
- Balance daily cash drawers and reconcile sales reports.
- Report discrepancies or issues immediately to supervision.
Administrative & Office Support
- Perform basic clerical duties such as filing, data entry, copying, and document preparation.
- Assist with processing mail, deliveries, and internal communications.
- Maintain pass, ticket inventory levels, and notify supervision when reordering is needed.
- Support coordination with other departments, including Operations, Dispatch, and Customer Service.
- Assist with special projects, events, or customer outreach activities as needed.
Safety, Compliance & Professional Standards
- Follow all RATP Dev USA policies, procedures, and security protocols.
- Protect customer confidentiality and handle sensitive information appropriately.
- Comply with cash-handling, audit, and internal control requirements.
- Maintain punctual and reliable attendance.
- Always Represent VoTran and RATP Dev USA in a professional manner.
Required Knowledge, Skills & Abilities
Knowledge
- Basic office procedures and customer service practices.
- Cash-handling and transaction processing procedures.
- Familiarity with public transportation services preferred.
Skills
- Strong customer service and interpersonal communication skills.
- Ability to handle multiple tasks in a fast-paced environment.
- Attention to detail and accuracy, especially with financial transactions.
- Proficiency with basic computer applications (Microsoft Word, Excel, Outlook).
- Ability to learn transit systems, fare structures, and internal software.
Abilities
- Ability to interact professionally with the public, including diverse populations.
- Ability to sit, stand, and work at a desk for extended periods.
- Ability to handle cash and maintain accurate records.
- Ability to work on assigned schedules, including evenings or weekends if required.
Education & Experience
- High school diploma or equivalent required.
- Previous receptionist, cashier, customer service, or administrative experience preferred.
- Experience in transit, municipal, or public service environment a plus.
Physical & Work Environment Requirements
- Primarily office-based environment.
- Frequent interaction with the public.
- Ability to lift to twenty-five pounds (boxes of passes, office supplies).
- Ability to work in a secure public-facing environment.
